LOGIN Directors Meeting Minutes

The next meeting will be held Friday, November 30, 2007 at the Mullica Hill Branch of GCLS. Coffee will be at 9:30 am and the meeting will start at 10:00 am.

LOGIN DIRECTORS MEETING

September 28, 2007

Attendance: Anne Wodnick, Jane Crocker, Ann Kohn, BobWetherall, Pat Woodruff, Carol Baughman, Marge Dombrosky, Linda DeFelice, Matthew DiBella, Marie Downes McDonald, Gwen Carotenuto, Jean Wipf, Denise Saia, and Arne Winter.

Marie called the meeting to order at Woodbury Public Library at 10:00.

Secretary’s Report

Carol reviewed the minutes. Bob moved they be approved. Anne seconded the motion and they were approved.

Treasurer’s Report

Jane distributed the report. The balance is $138,183.74. The Maintenance and Repair expense is the iBistro bill from SIRSI. Jane will move that bill for $10,818.72, to subscriptions in the future. Jane received the bill for production of the video of $800. It has already been on TV. Marie distributed the times it would appear. Bob moved that the treasurer’s report be approved. Marge seconded it and all approved. Bob suggested that Ralph digitize and distribute the video to SJRLC and NJLA. Jane will send a press release for the NJLA newsletter. Bob reminded all that we should expect a bill for deduping and authority control. The iBistro bill was $64,225 this past April. Jane will project expenses for the next meeting. Deduping will be around $2000 a year. Next year’s budget should include another advertisement for $800 to produce and $5000 to run.

OLD BUSINESS

Deduping and Authority Control

Bob reported that the deduping is completed and SIRSI is finishing the authority control. He reminded all not to change bib records until the process is complete.

One Book Gloucester County

Linda DeFelice, GCC Professor of Communications (ldefelice@gccnj.edu), spoke about One Book Gloucester County. Keisha Patterson Communications Professor at Cumberland County College has sponsored a successful program in the past (CCNJ.edu\library\obec.cfm). Gloucester County College would like a website linking all our One Book programs in Gloucester County. Gloucester County College would like to include marketing and communications for the programs in the future. Jean Wipf volunteered to be on the committee.

PR Committee

Jane explained how the LOGIN commercial, “Ticket to Read,” was made. It was viewed by all with lots of enthusiasm. Jane will send it out via email for all to see. It will require that computers have installed “Quick Time.”

Portable Reader

GCC reports that it is still not working. It was suggested that we put it in the budget next year to purchase another unit and software.

Credit Cards

Jean requested information from members of the SJRLC listserve. Christine Hill at Willingboro Public Library told Jean that they lease the equipment for $44.34 per month with processing fees of around $70 per month. The machines cost around $1000 to purchase. Anne has information regarding credit cards that she received from ALA that she will bring to our next meeting. Jean will check into multi-sites and talk to the vendor.

Communication with Washington Township Library

Marie sent a letter to Washington Township Library in response to an inquiry about joining LOGIN. Linda Snyder talked to Marie, Jane, Bob and Denise. It would cost around $20,000 to join and around $9,000 annually to participate.

NEW BUSINESS

Communications with Elsie Tedeski, Paulsboro Councilwoman

Bob sent a letter to the Paulsboro councilwoman about the benefits of belonging to LOGIN.

Scheduling of Upgrades

Jane had a problem with the scheduling of upgrades certain times of the year. Jane will send Bob information regarding poor times for upgrades. Bob will send information about upgrades further in advance.

Clues and LOGIN

Matt reported that the libraries in Salem County are attempting to form a group, “Castle,” for Salem County, hosted by Clues (Cumberland County.) It would cost around $25,000 in fees to transfer the records. Students would have access to much fewer materials to borrow. Matt gave information regarding costs to his supervisor. He was reminded that LOGIN requires one year notice to withdraw and a fee is assessed to withdraw the records.

SRG Meeting September

SRG minutes were distributed. Anne reported that member staff were unclear about what to do with items that were missing. All agreed not to mark lost, claims returned, or missing any material not owned by his or her library. Carol moved that library staff should consult with their library director to resolve individual situations. Bob seconded it and all agreed. Marge requested that directors be sent copies of directions for all three reports for missing items. Matt asked if anyone used collection agencies and no one did.

Online Library Card Applications

Bob told all that the applicants must visit their local library at least once in order to borrow material. Currently, GCIT students must get a local library card to use the GCIT library. It was suggested that Ann change the policy so that students could get a library card as needed.

System Issues

Marie demonstrated a page on LOGIN, “Have You Read?” that doesn’t have any titles. Bob will talk to Karen and Ralph to eliminate the page and substitute “Find It Fast.”

LOGIN Hours

Jane distributed copies of the LOGIN libraries’ hours. If you want Jane to duplicate it, the cost is 5¢ per page.

Patron Notes

Denise requested that staff refrain from discussing notes on patron’s records with patrons.

Symphony

Bob reported that Symphony 3.2 is the next SIRSI/ Dynix product. GCLS is intending to move to Symphony. It will require “newer” machines to run. Bob distributed the specs.

Marie reported that Susan Permahas is forming a consortium of SIRSI users and distributed a request for participation.

Next LOGIN Meeting

The next meeting will be Friday, November 30th at the Mullica Hill Branch of GCLS. Coffee will be at 9:30 and the meeting will start at 10:00.
