April 25, 2008

President Marie called the meeting to order at 10:00 at the West Deptford Public Library.
Secretary’s Report
Carol presented the secretary’s report. Jean motioned for its approval. Marge seconded it and it was approved.
Treasurer’s Report
Jane distributed statements. Account #7990 reflected expenses from the production of the video commercial ($800+) and the annual SIRSI subscription fee ($10,000+). There were no new bills and nothing extra charged to upgrade to Symphony. The balance was $121,641.84. Bob motioned that the report be accepted. Anne Wodnick seconded it and it was accepted.

Symphony Upgrade
Bob noted that the upgrade had progressed much quicker than anticipated and was complete by 9:30 a.m. Marie reminded everyone about using the LOGIN blog for further information. http://blog.gcls.org/login
NEW BUSINESS
SYSTEM down 3/5 08
Bob said that the equipment had failed as a result of a lightening hit and that it had been replaced early the next day. He reminded all that in 2009 the server will have been at Mullica Hill for six years and it is time to start looking at alternatives. We should compare costs of purchasing a new server to remote hosting. Bob will ask Karen to provide some information for the next meeting.
Letters of Intent
Carol read the Letters of Intent to join LOGIN from Monroe Township Free Public Library, Gill Memorial Library, McCowan Memorial Library, and Margaret E. Heggan Free Public Library. Jane motioned that they all be accepted into the LOGIN consortium. Bob seconded it and the motion was unanimously approved. Introductions followed.
Update on New LOGIN Libraries
Bob explained that the Heggan Library (Washington Township) would be first to be integrated into the Symphony system, then Monroe, McCowan (Pitman), and Gill Memorial (Paulsboro) would be last. It is hoped the project will be completed by the end of the year. Bob said that GCLS cards will be temporarily issued to any patron that would eventually be part of the consortium, expiring when the library’s records are integrated into SIRSI. The new LOGIN libraries were not aware that GCLS would be issuing these temporary cards and asked that, in the future, Bob would inform them about things that would affect them. Existing LOGIN libraries will issue temporary cards to patrons and residents from the new LOGIN communities. Beth asked what happens with a problem patron. Bob explained that the record can be blocked, if necessary, but that the home library would not be liable.
LOGIN Directory
Marie asked all to send information to Jane and she will update the membership directory. Jane also asked all to email a sentence to her about what joining LOGIN means (new members and Wenonah) so she can write an article for the NJLA newsletter. She briefly discussed “open source” cataloging that was being promoted by some four-year colleges.
Nominating Committee
The nominating committee will consist of Denise, Gwen, and Marge. They will have a slate for the next meeting.
Review of LOGIN By-Laws
Copies of the bylaws were distributed. All were asked to review them for the next meeting.
Review of Service Level Agreement
Marie will distribute at next meeting for its annual review.
SRG Meeting November
Topics from the April SRG meeting were discussed, including the MailLit program starting this summer by GCLS.
Cataloging
No report.
System Issues
Marie had problems trying to delete items with fines. It was suggested that she change the home location to discard so that the fines remain.
Marie thanked Bob for the statistics for the State Reports. Bob will write up some information for Jane for the NJLA newsletter.
Anne Wodnick complimented the LOGICAL libraries on their “Circle of Authors” program. It was very successful.
Matt informed the group that the Salem Community College Library would have a limited schedule after May 12th. Jane said that Gloucester County College Library would be closed on Fridays and Saturdays after June 2nd for the summer.
Next LOGIN Meeting
The next meeting will be Friday, July 18th, at Woodbury Public Library.
Coffee will be at 9:30 with the meeting starting at10:00.
Jane motioned that the July meeting be this year’s annual meeting for the LOGIN consortium. Anne Wodnick seconded it and it was passed.
The meeting was adjourned by President Marie at 11:07.
